IP Administrative Assistant: Become the Newest Member of the Vans Family

In this position, you will be responsible for administrative support for the team responsible for protecting and enforcing the rights of this iconic brand and get to work with a dynamic group of individuals in a fast-paced environment. You are an administrative individual contributor who will apply what you learn and perform your duties to initiate action and facilitate team success.

How You Will Make a Difference:

  • Docket new trademark, copyright and patent prosecution and dispute cases, to include incoming office actions, formalities and all other correspondence related to filing, prosecution, opposition, infringement and litigation of intellectual property matters;
  • Updates the docket daily based on incoming/outgoing correspondence received from the USPTO, international trademark offices and foreign agents;
  • Retrieves and processes emails from the centralized docketing inbox daily and dockets information in the docketing database;
  • Provides research and follow up for pending matters as requested by the IP team;
  • Conduct periodic audit and status checks to ensure the docket is accurate and up to date;
  • Interface with corporate and brand functions in multiple offices and regions, outside counsel, and vendors;
  • Create and distribute presentations, forms and reports for the department;
  • Legal Tracker administrative lead – open new matters, add new vendors as requested and obtain vendor numbers as needed.Run reports at month end for Finance and management;
  • DIAMS iQ administrative lead (Intellectual Property Management software) – act as the lead in making sure all implementation timelines and testing are met, assist team with coordinating all customizations, field changes and additions, organize trainings, and any other requests;
  • Provide research and support for special projects;

Skills for Success:

Years of Related Professional Experience: 3+ years

Educational/ Position Requirements:

  • College-level education preferred for broad understanding of different principles and concepts as it relates to reporting and communication purposes.
  • 3 years of experience in a law office environment or in-house legal department are needed for this position.Intellectual property and/or brand enforcement experience is a plus.


  • Ability to successfully communicate and build relationships with all levels of management and the team;
  • Ability to multi-task, work independently with minimal supervision, work under pressure with high-quality results;
  • Detail oriented and display discretion with sensitive information.
  • Highly organized and efficient, including having the ability to organize and prioritize information and tasks;
  • Aptitude and willingness to learn and try new things;
  • System savvy with strong working knowledge of MS Outlook, Excel and PowerPoint;
  • Maintains high level of confidentiality;
  • Demonstrates follow-through on all assignments;
  • Ability to compose, proofread and edit (e.g., punctuation, grammar, spelling) routine internal communications;
  • Demonstrates a “can do” attitude and initiative to assist on a variety of projects.

Special Physical and/or Mental Requirements:

  • Willing and able to work additional or flexible hours when needed
  • Bend, lift, open and move product and related office items varying in weight from 1 to 25lbs, depending on need
